Subject: Sugarwood Stingrays - 2011 wrap up email

Sugarwood Stingray Parents
What a great year end party at Mcfee Park. For those of you that were not
able to join the team it was great to reflect on the 2011 season, give
thanks to everyone that made 2011 so special, eat lots of food, have plenty
of room to spread out, and send Coach Stephanie out in style. I am looking
forward to 2012 swim season and I hope your family is also. The team and
organization is the strongest it has been since I have become president four
short years ago.

Something you may not know, but if all of our swimmer return next year, our
swimmer age groups will have the following totals.

21 - 8 and unders
29 - 9/10's
28 - 11/12's
23 - 13/14's
27 - 15 and ups

now all your family has to do is swim in 2012. I am excited about all our
age groups, but 27 senior swimmers will be fun to watch next year. I want
you to continue to bring in those great families to the stingray nation.
Also encourage your swimmers to recruit their friends to see how much fun we
have.

Financially the organization was able to put about $300 in reserve to take
on some of those replacement cost items like new lane lines.

Many of you have asked about the open head coaching position and whether I
had someone in mind. The new head coach will be announced sometime in March
2012 when the SWSR board of directors has reviewed and agreed upon which
candidate is the right choice. Many of you have emailed me possible
candidates and this is EXACTLY what we want. The Stingray Nation is all of
us put together and I cannot know all the possible candidates out there, but
collectively we can find them. Many of you are in relational circles that
can help SWSR get the next great head coach for the swim team.

With every set of new challenges come opportunities that may have not
normally reveled themselves. I am excited about 2012, as I hope you and
your swimmers are also.

SEE YA IN 2012

Subject: RE: Sugarwood Stingrays - IMPORTANT DUE DATE - SMI and City Meet
Registration Forms and Fees. - THIRD AND FINAL NOTICE

Stingray Parents

Each year SWSR participates in the Smokey Mountain Invitational (SMI
7/9-7/10) and the GKAISA City Meet(7/22,7/23,7/24). These meets are
optional, however we like to encourage every swimmer to participate if they
can. These Meets are day long events with swimmers from all over the area
participating. SMI is a meet that year around swimmers do NOT participate
and City Meet includes year around swimmers. SWSR has a lot of fun at our
team tent as we hang out all day and cheer on the SWSR Swimmers
individually. Don't forget we have those relay shirts we wear at City Meet
for any qualifying relay.

The reason for this email is that the FORMS and FEES for the swimmers to be
entered into either the SMI, CITY MEET or both must be received by CHET
CARBAUGH or COACH STEPHANIE by the end of day MONDAY 6/20/11 or your
swimmer(s) will not be entered in either of these meets as you may
desire!!!!!! The form was in your Registration Packet and I have attached
it again in this email.

I have attached two spreadsheets that identify who I currently have FORMS
and FEES from to enter these meets. There are some that still owe some
moneys. Please review the enclosed attachments to make sure the information
is accurate. Any questions call or email me.

I have also sent this email out as a reminder to many of you who typically
have entered the SMI and CITY MEET in the past. If your swimmers name is
not on the attachments to this email YOUR SWIMMER IS NOT CURRENTLY ENTERED
in SMI or City Meet. Please review the attached.

AGAIN THE DEADLINE FOR ALL SWIMMERS WANTING TO BE ENTERED IN SMI AND/OR CITY
MEET IS 6/20/11 MONDAY!!!!!!!!!

FORMS AND FEES MUST BE TURNED IN BY 6/20/11 MONDAY!!!!!!

Don't miss out on the fun because you did not turn your form and fee in on
time!!!!!!!!!

Subject: Sat. 6/ 18 optional practice

Don't forget optional practice tomorrow... I will be working on flip turns
for all strokes for anyone who wants to come. 10 and unders are from 9-10
and 11 and up are from 10-11. This is purely optional!

A few side notes:

Don't forget if you have not yet responded about swimming Thursday's meet
with Robindale Woods, please do so! I have already started working on that
line up!

If you plan to swim Smoky Mountain in July, get that form filled out that
was emailed filled to you and turned in by Monday!

Again, great job last night, I was very proud of swimmers who stepped up
to help the team, my assistant coaches who were at both ends of the pool
encouraging all swimmers on every swim, and also those parents who stepped
up to fill roles to make the meet a Stingray success!!!

Stingray Parents
SWSR 397 FDCC 306.

Thanks to all the parents and swimmers that worked so hard during last nights
meet. I know hearing and communication during the meet was difficult on all
of us, but as the stingray nation alway does, we adapt and step above the
circumstances. Make sure you tell your Stingray Swimmers two things about
their TEAM this year. It has been 6 years since the SWSR has won it first
dual meet, and been undefeated. The second is that is has been over 7 years
since SWSR has scored 397 or more points in a dual meet. This is what TEAM
is all about.

If none of that seems to interest your stingray, then make sure they know I
have never seen so many Stingrays at Sonic than I saw last night!!!! Impressive
and Fun.

It takes all of the Stingray Nation (swimmers, coaches, and parents) to make
this thing called "summer swimming" fun so go ahead and jump on board.

GO STINGRAYS!!!!

Sugarwood Stingray Parents and Swimmers TIMELINE

Intra-squad/time trials swim meet timetable for SATURDAY (I know it is early
but work with me)

6:00AM - Pool unlocked and pool setup starts (concessions, parking
attendants, Pool set-up volunteers)
7:00AM - Swimmer Check-in (outside fence on east side of pool)
7:00AM - Parent Check-in (outside fence on east side of pool)
7:00AM - 7:30AM Individual picture taking (optional)
7:30AM - TEAM PHOTO - all swimmers to participate
7:45AM - Swimmers meet with coaches for meet training
7:45AM - Parent Workers meet with referee for meet training
8:00AM - Swim Meet Starts
11:00AM - Meet ends
11:00AM - NOON - Pool Takedown volunteers restore the pool to pre-meet
orientation

Top Ten Parent Reminders

1. Parents - Be on time it is vital to the team function.

2. Parking - park in the grass on the east side of the pool and follow the
parking attendants directions. DO NOT park on the subdivision streets or
the street leading to the pool.

3. Parents - Come to the meet ready to help. If your family has swimmers
swimming in the swim meet it is expected that a parent will be working one
shift of the swim meet. The stingray nation always participates as a team,
if it has been determined that swimmers have been dropped off at a swim meet
with no parent participation, the team will have to remove the swimmer from
the line-up and the swimmer will not be allowed to participate. Typically,
we do not have a problem with this but I do want to make sure the Stingray
Nation understands. Those parents willing to work double shifts are very
much appreciated and true to the stingray spirit of "stepping up" when
needed.

4. Parents - If you are a new family in the stingray nation this year,
please ask questions. Things move fast and can be confusing for anyone not
familiar with a swim meet event. Every family on the stingrays at one time
was new to the stingrays.

5. Parents - come ready to place your swimmers in the ready bench area when
it is their time to swim. If a swimmers misses an event it is NOT the
parent workers fault. The parent workers are there to help facilitate the
swim meet not find your swimmers.

6. Parents - prepare your swimmers to listen to the events being called and
teach them about the layout of the pool and were the ready bench is when
they hear their event being called to report to the Clerk of Course(Ready
Bench).

7. Parents (especially veteran families) pick out a new family and mentor
them.

8. Parents bring lots of patience everything will not run smoothly there are
always situations that develop that takes time to communicate, train, and
respond.

9. Parents during the mock meet try worker positions you may have never done
before if anything just to try it, this saturdays meet is to teach you as
much as to teach the swimmers what occurs during a swim meet.

10. Do what Stingrays do HAVE FUN AND SWIM FAST!!!!!!!

Summation
124 swimmers
64 families
128 parents
40 worker positions per shift to be filled

1 head coach
4 assistant coaches
1 meet director
1 president

Controlled Stingray chaos!!!!!!!

Stingray Nation has been doing this for 12 years so lets lets continue the
great tradition as TEAM.

Its a lot of fun when we all get on board and participate.

Just remember I got my start with STINGRAY NATION parking cars and I loved
that job. No position is to difficult to do as long as you are willing to
do something, which is what the Stingray Nation is all about.

Subject: DUAL MEET vs Fox Den

We have our first official dual meet next Thursday, June 16th against Fox Den
Country Club. The meet is at Fox Den's pool and it starts at 6:00 PM, our warm
ups are at 5:30. I would like ALL swimmers to be at the pool BY 5:10. This
will give you time to park, get into the pool area, and we can begin stretching.

Fox Den is only a mile or so west of Sugarwood as you drive on Kingston Pike,
so it is close!
Take first entrance into Fox Den and go left at stop sign. Follow this around
and it should take you to club house which is where the pool is located.

The address if you want to put in your GPS system:
Fox Den Country Club
12284 N Fox Den Dr, Knoxville, TN 37934

Please respond to this email by Monday, June 13th letting me know your intentions
to swim.

Theme for this meet: hats! Wear your favorite head gear; it can be a chef's hat,
pirate hat, a cowboys gallon hat, or even your favorite baseball hat... whatever,
but remember please look for stuff around the house, don't go out and buy something.

Subject: Sugarwood Stingrays - Reminder ... Late Registration Saturday 5/14/11

Stingray Parents

THE SUMMER SWIM SEASON HAS ARRIVED!!!!!!!!

REMINDER this saturday 5/14/11 is Late Registration 9am to Noon at the pool.
If your family / swimmers have not officially registered with the team you
need to make sure you get this done this Saturday. Your family is not going
to want to miss out on the 2011 Stingrays. Lots of fun, competition, and
controlled chaos.

BRING YOUR CHECK, HEALTH INSURANCE INFORMATION, CALENDAR, AND YOUR RAY
SMILE.

After this Saturday the team goes immediately into Dry land practices.
These practices help build team unity and help introduce this years new
swimmers to what is the "STINGRAY NATION". Also on Monday 5/16 after
drylands is when Coach Stephanie shares her coaching philosophy and Chet
Carbaugh shares the organizations purpose. This is a perfect opportunity
for parents to ask questions, understand the expectations, and meet other
great RAY families.

DATES OF INTEREST

5/19/11 Thursday Dryland Practice – 5PM to 6PM – ALL AGES

NEEDS OF THE TEAM
-Register your swimmers !!!!!
-RECRUIT, RECRUIT, RECRUIT!!!!
-Team fund raiser
-Meet Director(s), Referee, stroke and turn judges

NEEDED PARENT POSITIONS - If you have been with the Sugarwood Stingrays more
than two years. The team needs you to consider being a Meet Director,
Referee or Stroke and Turn Judge. These positions take a little more
training, but are VITAL to the success of the team. Please consider these
Needs of the team and let me know of your interest as soon as possible so
that I can get you lined up for the necessary training. If these positions
go unfilled the team is penalized and it is impossible to run a quality swim
meet.

FUND RAISING OPPORTUNITY - The organization is always considering ideas to
raise money for the team to help keep the registration cost down. This year
we have what could be an opportunity, however I need to know Swimmer and
Parent participation. This saturday 5/14 is our team registration, also on
this day 5/14 is the Sugarwood Neighborhood Garage Sale. A lot of
individuals will be in the subdivision looking to spend money. My thought
would be that this is a great opportunity to do a team Car Wash or to put
the team tent up and sell hot dogs / stuff. I will be running registration,
so I need know who would be willing to help and/or organize the efforts.
This needs to stay simple and raise funds from individuals not normally
associated with the stingrays. LET ME KNOW if your are interested in
helping.

Registration Fees this year per family.
$135 - first child
